Before diving in, let’s talk briefly about compliance. If you're a health practitioner, your email marketing must honor HIPAA guidelines.

This means you should only collect names and email addresses via your opt-ins, no personal health data. Any emails or downloadable resources you create should remain educational, motivational, or inspirational in nature. No client-specific information should ever be shared via mass email marketing.



This approach not only keeps you compliant, it also reinforces the purpose of email marketing: to build trust, offer support, and position you as a valuable resource.

Email Marketing Strategies to Grow Your List


Just because you’ve created a freebie doesn’t mean everyone will download it right away. Growing your email list takes time, consistency, and creativity.


One thing we always suggest for easy user experience is having a landing page for your email newsletter and for all of your freebies as well, like this one for our newsletter: The Mindful Marketer


Here are some aligned strategies that we have seen work well for health and wellness practitioners:


  1. Guest Podcasting

    If there’s one list-building strategy we return to again and again it’s guest podcasting! Why? Because it’s authentic, relational, and effective.


    When you’re invited (or you pitch) to speak on a podcast your ideal clients already listen to—whether that’s new moms, busy professionals, or wellness enthusiasts—you’re stepping into a space where the trust is already built.


    The host has done the work of gathering and nurturing their community, and by featuring you, they’re essentially saying, “Hey, this person is someone you should listen to and trust.”


    Here’s why it works so well:

    • It builds authority and positions you as a thought leader.

    • Listeners get to hear your voice, your energy, and your values.

    • It attracts people who are already interested in what you offer.

    • You’re not cold-pitching, you're showing up as a guest, a peer, a resource.


    How to get started:

    • Start by making a list of podcasts your ideal clients already listens to. Think about their interests—nutrition, parenting, mental health, entrepreneurship, integrative wellness.

    • Reach out with a warm, personalized pitch. Highlight why you love their show and how your story or expertise could add value to their audience.

    • Have a signature topic or two ready to suggest. For example: “How Functional Medicine Can Help Burned-Out Moms Feel Like Themselves Again” or “The Surprising Link Between Anxiety and the Gut (and What You Can Do About It)”


    Pro tip to grow your list: Offer a freebie download at the end of the episode and the host will include the link in the show notes for their audience to download it (get permission to do this beforehand).


    Bonus idea: Repurpose the episode! Share soundbites on social media, transcribe it into a blog, or link to it in your next newsletter. This isn’t just a one-time strategy, it’s a relationship-builder and long-term trust tool. Click here to see some of the podcasts I've been on recently!

  2. Host a Virtual Workshop


    Another beautifully aligned strategy to grow your email list is hosting a virtual workshop. Whether it’s a 30-minute live webinar or a recorded masterclass shared with registrants, hosting your own workshop allows you to showcase your expertise, connect directly with your community, and grow your list in a genuine, value-driven way. Similar to podcasting, you can also pitch to host your workshop to another aligned community who would benefit from your services and collect their emails when they sign up. If you’re camera-shy, remember this doesn’t have to be a big production. It can be intimate, heartfelt, and perfectly imperfect. Just you, your passion, and a virtual room full of people who care :) Pro tip: Offer a follow-up gift or download at the end of the workshop as a thank-you. This adds extra value and encourages your audience to stay connected with you.

    Bonus idea: Record your workshop and offer it as an evergreen freebie later! This allows you to keep collecting emails long after the live event ends.

  3. PDF Downloads

    A thoughtfully created PDF freebie is one of the most timeless and effective list-building tools, and for good reason! It’s easy to share, simple to create, and gives potential clients a tangible taste of your expertise. The key? Make it genuinely valuable and easy to digest. Your freebie should answer a common question, relieve a small pain point, or give your reader an “aha” moment that builds trust and positions you as a resource they want to learn more from. Your freebie doesn’t need to be super long, 2 to 5 beautifully designed pages is more than enough.

    What matters most is clarity, intention, and a warm tone that reflects your approach to care. Here are some of our PDF downloads if you want to take a look as an example...     How to share your PDF:

    • Website: Feature it prominently on your homepage, in your website footer, and on relevant service pages with a simple opt-in form. Also create a landing page with a friendly welcome message, a mockup of the PDF, and an opt-in form.

    • Social Media: Talk about it often! Pin it to your Instagram profile, mention it in your Stories, feature it on your LinkedIn profile, and create a few graphics to rotate every couple of weeks.

    • Blog Posts & Newsletters: Naturally weave it in. “If you found this post helpful, you’ll love my free guide on X...”

    • In-person & Client Care: Mention it during new client intakes or group programs—especially if it can complement their treatment.

    • Guest Podcasting: As we already discussed, you can include it as a free recourse in the show notes when you appear on someone's podcast for their audience to download.

  4. FB and IG Ads (with Caution)

    While not our favorite method (since it interrupts rather than invites), paid ads can work for some practices. If you feel called to explore this route, keep your messaging gentle and intentional. And know it’s okay to skip this altogether - many successful practitioners grow organically without ads.



Best Practices to Get Better Results From Your Emails


Now you might be wondering, once your list begins to grow, how do you create newsletters that resonate and inspire?


Here are some strategies that work beautifully for our clients:

  • Share relatable, heartfelt content. Speak from your experience. Tell a story. Share a client win (with permission, or anonymously). Be human.

  • Always include a link or button to book an appointment. Gently remind them you're available to help.

  • Include reminders for follow-ups. Help people stay on track with their care.

  • Invite them to forward your email. A simple “know someone who would benefit from this?” goes a long way.

  • Link to your latest blog or podcast. Drive traffic to your content and deepen engagement.

  • Craft creative subject lines. Curiosity, emotion, and clarity tend to get more opens than vague or formal language.

  • Be consistent. Whether weekly or monthly, showing up reliably builds trust and shows you’re still here, still showing up for them.


Email marketing doesn’t need to feel like a chore. Think of it as a virtual extension of your healing space where you continue holding space, sharing insight, and connecting with the people you’re meant to serve.


Start with one intentional step. A simple freebie. A warm-hearted welcome email. A monthly note that says, “I’m here to support you.”


It’s not about going viral. It’s about creating consistent, heart-centered visibility that grows with you and supports the people who are already listening.
