So many health wellness practitioners pour their time into bringing in new clients, but sometimes the real magic lies in reconnecting with the ones who already know and trust you.

The most underrated marketing strategy for holistic practitioners isn’t a fancy funnel or a viral Instagram reel.

It’s the humble, thoughtful client follow-up emails.

Follow-ups are an extension of the care and connection that holistic providers already offer. Whether you’re reminding a client to rebook, reconnecting with someone you met at a workshop, or staying in touch with referral partners, a simple email can go a long way.

And with intention, it can become a steady, supportive rhythm in your marketing… one that feels really good!

Why Follow-Ups Are the Most Underrated Strategy in Holistic Marketing

Follow-ups aren’t salesy! When done right, they’re supportive. When approached with care, they make people feel remembered, valued, and encouraged.

Follow-up emails support the client journey

When a session ends and there’s no follow-up, clients may lose momentum, or even forget to rebook. A gentle follow-up keeps the door open. It can be as simple as:

“I’ve been thinking about our last session. How have things been landing for you? If you feel like some continued support could be helpful, here’s a link to rebook.”

These small nudges help clients feel held and supported, even between visits. You’re making it easier for them to continue their healing process.

They nurture relationships with referral partners

Client follow-up emails aren’t just for clients. They’re also an amazing way to stay connected with other practitioners who refer to you!

A quick email like: “Just wanted to say thank you again for sending [Client First Name] my way. I really appreciate the trust. It means a lot!” ...goes a long way in strengthening professional relationships.

It keeps you top-of-mind for future referrals and shows that you don’t take their trust for granted.

They demonstrate your values in action

Holistic marketing is grounded in connection, intention, and alignment.

Thoughtful follow-up emails are an opportunity to embody those values… not just talk about them! You get to walk the walk by showing up with care, not pressure.

Thoughtful Client Follow-Up Emails: What to Say and When to Send

If the idea of follow-up emails brings up anxiety. If the thought of it has you wondering, “Am I being annoying?” “What do I even say?”... take a breath.

These aren’t sales emails. Think of them as acts of service.

Here’s when to send them and what to include:

After a session

One of the most meaningful times to follow up is within a day or two after a session. Your client may still be reflecting on what came up, and your message can offer a sense of calm and continuity.

Include:

  • A thank you for trusting you with their care

  • A brief recap or affirmation of their progress

  • A link to book again, only if it feels aligned

Example: “Thank you for our session this week. You’re doing such meaningful work, and I admire your willingness to go there. If you’d like to book again, here’s my calendar, but no pressure at all.”

When a client hasn’t rebooked

Let’s say it’s been a few weeks since you saw a client. It’s okay to check in. A light, caring tone is important here:

“Hi [Name], I’ve been thinking about you and wanted to see how you’ve been doing since our last session. If you feel like reconnecting, here’s where you can book. Either way, I’m sending you warmth.”

This keeps the door open without feeling intrusive.

After an event or initial inquiry

If someone has shown interest, like by attending your event or downloading a resource, but hasn’t booked yet, a personalized check-in can be the nudge they need to reconnect.

“It was lovely connecting at the event last week. If you’d like to explore how my work could support you, I’d be happy to chat more. Here’s a link to book a free clarity call.”

This way, you’re not pushing. You’re inviting!

For seasonal or milestone check-ins

Maybe it’s been three months since someone finished a package. Or it’s the start of a new season (a great time for people to reflect and re-engage).

“As we move into fall, I’ve been checking in with past clients. How have things been feeling in your body lately? I have a few spots open if you feel ready to come back in.”

These check-ins feel organic and caring, especially when they align with the natural rhythms of your practice.

Keep the Conversation Going with Email Marketing

Follow-up emails are wonderful tools for connection. Pair them with a monthly newsletter or email series, and you create an ongoing conversation with your community.

This is a way to stay in touch with your entire audience, not just one person at a time.

Why consistent email marketing builds trust

Email marketing helps you stay visible and valuable, even when someone isn’t ready to book. It builds familiarity and trust, reminds people you exist, and gently reinforces your expertise. It's a great way to nurture your audience.

Think of it as a relationship-building tool… not just a marketing tool.

Ideas for what to send

Not sure what to write? Keep it simple and thoughtful.

You might share a gentle seasonal reminder, like “Spring is a great time to support liver health,” or offer a journal prompt to encourage self-reflection. You could answer a common client question, give a behind-the-scenes peek at one of your favourite rituals or remedies, or link to a blog post or new offering.

These little touches go a long way in building trust and connection. These are not sales blasts. They are thoughtful, well-timed nudges that remind people you’re here.

Tools that make it easier

You don’t have to send these emails manually. Use platforms like:

  • Wix Ascend (if you have a Wix website) - set up automated emails for welcome sequences and send your monthly emails from here

  • Flodesk (if you don't have a Wix website) - easily create beautiful email layouts with minimal fuss

You can schedule seasonal emails ahead of time and build a consistent presence that runs quietly in the background.

Best Practices for Writing Client Follow-Up Emails

To help your emails resonate (and not end up in the trash), keep these in mind:

Make it personal

Use their name. Reference something from a past session. Even a single sentence of personalization makes a huge difference.

Instead of: “Book now! ”Try: “It was such a pleasure holding space for you last month. How are things landing for you now?”

Keep the tone warm and light

You're not chasing a sale here. Think of this as opening a door. Use gentle, supportive language that reflects how you show up in session.

“Feel free to reach out anytime” is much better than “You need to book now.”

Make it easy to take the next step

Include a clear link to your booking page, discovery call, or contact form. The easier it is to re-engage, the more likely they will.

Tip: Use a button or bolded link to help it stand out.

Don’t overthink it

A short message can go a long way. Just a few thoughtful lines might be all it takes to gently bring someone back into your world.

Follow-Ups for Collaborations and Referrals

Your marketing doesn’t stop at client relationships. Some of the best referrals come from fellow practitioners, collaborators, or community members who already trust your work. A quick follow-up with them can help keep those connections strong.

Simple gestures can go a long way in nurturing referral relationships.

You might send a quick thank-you note after someone refers a client, even if that person hasn’t booked yet. Every few months, a friendly check-in like “How’s your practice these days?” can help keep the connection alive. And from time to time, you could share a blog post or resource you think they’d genuinely appreciate.

The goal is to stay on their radar in a genuine way. These relationships are gold! Nurture those special connections.

Following Up Is a Form of Care

A client follow-up email is a reflection of your values. You’re showing that you’re thoughtful, consistent, and committed to your clients’ well-being, even after they’ve left your treatment room.

Whether you’re reminding someone to rebook, staying in touch after an event, or checking in after a few months, it’s the simple act of reaching out that matters.

Don’t underestimate the ripple effect! One well-timed follow-up can lead to a renewed connection, a new referral, or a deepened sense of trust.

And in holistic marketing, trust is everything!
